Frequently asked questions
Getting started
What is Doclerk?
Doclerk helps law firms organize matter documents through three specialized assistants: File Clerk classifies, names and files documents; Paralegal answers questions from case records with source references; Timeline organizes case events into a searchable chronology.
What is Lexisence?
Lexisence is the umbrella brand for our product portfolio. Doclerk is its legal document workflow product for law firms.
Who is Doclerk for?
Doclerk is designed for law firms and legal teams that manage matter documents and want consistent filing, searchable case records and organized timelines.
Do we need to replace our document storage?
No. Filing Node reads from local or network source folders and files documents to a local or network folder or Google Workspace Drive. Filing may move a file from its source folder. Doclerk does not host a separate repository of original files; it stores extracted and indexed content for search and AI. See how data is handled.
How do we get started?
Choose Get started to sign up and begin setting up your workspace. Have your folder structure and naming protocol ready as you configure your filing workflow. Need a walkthrough? Book a 15-minute demo.
Doclerk assistants
What filing work does File Clerk automate?
After an admin configures your firm's categories and naming protocol, File Clerk can classify, name and file supported incoming documents. Exceptions still need a person's attention; time saved depends on your matter volume and workflow.
What happens if File Clerk can't complete a filing?
If the case, document type or naming details are unclear, File Clerk creates an Inbox thread with a question. Answer it there so processing can continue. Technical failures appear in Filing Node Monitor.
Can I ask questions about a case?
Yes. Ask in everyday language, such as when a demand letter was sent or which documents mention a person. Paralegal answers include source-document and page references when available, so you can check the record.
Do I have to build case timelines myself?
Timeline organizes important events from indexed case documents into a searchable chronology and updates as new documents arrive. You can search events, add one by dictation, and trace extracted events to their source document and page.
When can I search a new document?
Documents become searchable as they are indexed. Large files can take longer, and full indexing may continue after filing is complete.
Can Doclerk understand scans, photos, and images?
Yes. Doclerk can analyze scanned documents and images, including visual details such as faces, signatures, redactions, X-rays, and vehicles.
Filing Node (connect documents)
What is Filing Node, and why do we need it?
Filing Node is a background service installed on a computer that can access your firm's local or network folders. It monitors configured folders and connects them to Doclerk for document processing and automatic filing. It must be running and connected for that folder-based automation; it works with your firm's configured storage rather than replacing it.
Which source folders and filing destinations are supported?
Filing Node monitors local or network source folders. Filed documents can go to a local or network folder or Google Workspace Drive. Need another destination? Contact us.
Which file types does Filing Node support?
Filing Node supports .pdf, .docx, .eml, .tif, .tiff, .jpg, .jpeg and .png files. An administrator can limit which supported types a node watches. Need another format? Contact us.
How does Doclerk classify, name and file a document?
Filing Node detects a supported file in a monitored folder and sends it to Doclerk for indexing. File Clerk uses your configured category to identify the document type, applies the naming protocol, then files it to the selected destination. If key details are missing, it asks in Inbox.
Can we configure our categories and naming rules?
Yes. Admins can add custom document categories, configure naming protocols and choose filing destinations. A category tells File Clerk what a document is; its naming protocol determines the filename. Test the setup with representative documents, and bring your folder structure to a demo so we can review the fit.
How do I install Filing Node?
Installers are available for Windows, macOS and Linux. Install Filing Node on a computer that can access the source folders, then configure the node in Doclerk. Contact us to discuss your firm's setup.
Can we install multiple Filing Nodes?
Yes. You can install multiple instances to connect separate source locations. For a shared network folder, one Filing Node with access to that folder can monitor and process its files.
Security & data
Where are original documents and Doclerk's indexed data stored?
Filing Node processes files from local or network source folders and files them to your chosen destination; filing may move a file within your firm's storage. Doclerk does not host original files. It stores extracted, indexed content and metadata for search, timelines and AI answers. See the Security page, or ask us about hosting-region or retention requirements.
How is our case data protected?
Access is limited to authorized users in your firm's workspace based on its accounts and permissions. Traffic to Doclerk uses TLS encryption, and data at rest is encrypted. We do not browse your matters. See the security details.
Are our documents used to train AI models?
No. Doclerk does not train or fine-tune AI models on your documents, and our model providers are contractually prohibited from using your data to train their models. Your data is used to provide Doclerk features in your firm's workspace. See our Security overview.
Billing
How is Doclerk priced?
Doclerk costs USD 100 per case, per year. Pricing is by case, not by headcount, so everyone at your firm is included.
What counts as a case?
One top-level folder is one case, and its subfolders are part of that same case. Each case is billed separately.
When is my first invoice issued?
Opening a case is free. If the case is still active more than 5 days after it was opened, we issue an invoice for the USD 100 case fee and email it to you. Cases closed or deleted within those first 5 days are not billed.
How often is a case billed?
Once a year. Each later charge falls on the same date each year, counted from when the case was opened, for as long as the case remains active. A case is never charged more than once in the same billing year.
When is payment due?
Payment is collected 7 days after the invoice is sent, using your authorized payment method. The invoice shows the amount and the due date.
Is it safe to pay by card?
Yes. Card details are entered in secure fields hosted by Stripe, a payment processor certified as a PCI DSS Level 1 Service Provider, the highest level of payment security certification. Your card number never passes through or is stored on Doclerk's systems.
Does Doclerk store my card details?
No. Stripe stores your card. Doclerk keeps only the card brand and the last four digits, so you can recognize which card is on file in your dashboard. We never store the full card number, expiry date or security code (CVC).
Is Doclerk PCI compliant?
PCI DSS is the card industry's security standard. Card data is handled by Stripe, which is certified at PCI DSS Level 1. Because card numbers never reach Doclerk's systems, our exposure to card data is minimal. Stripe's certification applies to Stripe's systems and is not a certification of Doclerk. Ask us if your firm needs details for a vendor review.
How do I update my card?
Replace your card from your dashboard. You enter the new card in Stripe's secure form, and the dashboard then shows the new brand and last four digits. Never send a full card number to us by email, chat or the contact form; we will never ask for one.
What happens if I close or delete a case?
Closing or deleting a case within its first 5 days means no invoice is issued for it. After that, a close or deletion before a charge date means that charge and any later ones are not billed. A close or deletion on or after a charge date still bills that year's fee.
What happens when a case is closed?
A closed case remains readable and searchable while your firm has an account, but it no longer accepts new documents or changes.
How do I get help with an invoice or payment?
For invoice or payment questions, send us a message. Do not include card numbers or confidential case documents.
Something isn't working
Filing Node appears disconnected.
Check that Filing Node is running on a computer that can access the source folders and reach Doclerk. Automatic monitoring pauses until the connection is restored. If it stays disconnected, contact us with the node name and approximate time.
A document is still processing or doesn't appear in search.
Check Processing Docs in the app. Large documents may become searchable while the remaining pages continue to index. If the file was added, renamed or moved outside the normal Case Folder workflow, use Sync Filed Documents to refresh the index. If it remains stuck, contact us with the document name and approximate time; do not send the document itself.
I see an error message.
Note the exact error, what you were doing, the document name and the approximate time. Send us those details, but do not include confidential case documents.
